Who we are
We look after the platform. Your club looks after its own members and sessions.
ShuttleStats® operates in the United Kingdom and runs this platform. We are responsible for how the platform itself uses your data. Your club is responsible for the decisions it makes about its members, sessions and club activity. Write to hello@shuttlestats.app about any of it.
What we collect, and why
What the platform needs to work, and nothing beyond it.
We collect what the platform needs to work, and no more than we need: your account details from Google when you sign in, the player record your club builds as you play and book and pay, anything you send us, and ordinary technical information such as your IP address, device and browser information, and service logs.
We use what is necessary to provide ShuttleStats under our contract with you; our legitimate interests in keeping the service secure, reliable and improving it, and in telling you when a series you booked, or started booking, opens again; our legal obligations, including financial records; and your consent where we specifically ask for it.
Gender is optional and we use it for nothing else. We ask once, because some clubs run events and draws that are separated by gender. Our lawful basis is your consent, which is why answering is optional and why you can take your answer back at any time; decline and we record that and we do not ask you again. Your answer belongs to you, so it follows you to every club you join.
Who can see it
Your club sees what it needs. Anything sensitive is seen by almost nobody.
Inside a club, admins see what they need to run it, and other members see the club-night things — who is playing, results, standings. A club’s pages, sessions and results are public by design.
Gender is the exception. Only the admins of a club you have joined, and the host of a session you are in, can see it. Other members never see it, and it appears on no public page, in no club directory, and in no member search.
We can reach club data where we need to in order to run the service. We keep that access to the people who need it, and we record what was done.
If you offer coaching
A coaching profile is visible to signed-in members, and the clubs on it are yours to choose.
Signing up as a coach turns what you write on your coaching profile into a page other people can find. Anyone signed in to ShuttleStats can see it, whichever club they belong to — it is not limited to your own club, and it is not on the open web. We review a profile before it is listed, and one we have not approved, or have suspended, is simply not shown.
Your profile can also name the clubs you belong to, and say whether you play there or help run them. That part is yours to decide. We offer you only clubs you are genuinely a member of, nothing appears until you choose it, and it stops appearing if you leave. The clubs come from your own membership record, so a coach cannot claim a connection they do not have.
We publish a listing because members need to be able to find a coach, which is an interest you and we share. There is no self-service deletion, so write to hello@shuttlestats.app to take a listing down.
Who else sees it
A short list of providers, and only what each of them needs.
We work with a small number of hand-picked providers — sign-in, payments, notifications, and the tools that tell us when something is broken. Each gets only what its part of the service needs. We keep your main ShuttleStats data in the UK or EEA. Some providers may process data elsewhere; where that happens, we use the protections required by UK data-protection law.
If you order a restring, the independent business doing the work receives only what it needs to fulfil the order and be paid — not your club membership, results or unrelated profile information. Your club’s admins never see the order.
If a stringer lets you pay them directly, the payment details they enter — such as their bank details — are shown to people who order from them (only when signed in, at checkout), and a copy is kept with each order for as long as we keep that order. The stringer can mark your order as paid or refunded, and that record is kept with the order too.
How we protect it
Real process, automated checks, and no passwords to steal.
There is real process behind this, not just good intentions. Automated checks run before any change to this platform can ship, and the rule they guard hardest is that one club’s data stays out of another’s.
We also chose not to build usernames and passwords at all. You sign in through Google, or Apple where that is offered, so there is no password of yours for us to hold, and none to be stolen or reused somewhere else.
Messages we send you
Receipts always. Series reminders until you stop them. Promotions only if you want them.
Confirmations and receipts are the service itself, so they are always sent.
When you book a session in a series, or start booking one, we tell you when the next one in that series opens for booking — by email, push notification and in the app — until you stop it. You can stop them at any time — when you book, from the link in any of those emails, or in your club’s settings. Turning off promotional messages does not stop these reminders.
Anything else promotional comes from your club, reaches your in-app feed, and reaches your inbox or phone only if you asked for it. We do not market anyone else’s products to you. You can turn promotional messages off at any time in your notification settings, or by asking us. That never stops your receipts and confirmations.
How long we keep it, and your rights
Ask us about your data and we will usually respond within a month.
We keep your data while your club needs it to run, and afterwards only where the law or an unfinished obligation requires — payment records, mainly. When an account is deleted, we also keep a record of that, tied to its email address for a limited time, so that we can look into misuse; that is in our legitimate interests.
You can delete your account yourself from your account settings, which will first tell you if anything needs sorting out. Once you do, you can no longer sign in to it, and the clubs you belong to at that point show you by name only to their admins. Clubs you had already left are not changed. Your clubs keep the records they need to run and that the law requires — payments, bookings and game results — and any credit you held stays with the club. Messages you already sent to other members and anything you sent us are not changed, businesses you ordered from keep their order records, and a club that blocked you keeps a scrambled form of your email address so that the block still applies. When the deletion is complete, we send you one email to confirm it, where we can, with a short summary of what your clubs keep. Our record of that email keeps your address only in a scrambled form, and only for a limited time.
Depending on how we use your data, you may have rights to access it, correct or delete it, restrict or object to its use, withdraw consent, or take your data elsewhere. Ask us at hello@shuttlestats.app about any of these, including closing your account, and we will usually respond within a month. If you are unhappy with how we handle it, you can complain to the Information Commissioner’s Office at ico.org.uk or, if you live in the European Union, to the data protection authority where you live — in Malta, the Information and Data Protection Commissioner at idpc.org.mt.
The date at the top changes when this policy does, and the note beside it says what changed. If a change materially affects how your data is used or who can see it, we will tell affected members in the app.
